Outlook :: Creating an E-Mail Merge

Using Outlook's Mail Merge tool to create and send e-mail messages to selected contacts in Outlook's Contact List is a simple and easy task. The specific steps for doing so are listed below.

1.     Select the contacts to whom you will send the e-mail message.

2.     Once you have selected the contacts are selected, on the Home tab of the Ribbon, select Mail Merge as shown in Figure 1.

3.     In the Mail Merge Contacts dialog box, select Only selected contacts, Merge to: E-mail, and enter a message subject as shown in Figure 2. Click OK

4.     Upon clicking OK in the previous step, Word will open. Create the mail merge document in Word. While there, you may wish to click Edit Recipient List to see that the message will be sent to just those contacts you selected in Outlook.

5.     Once you have created and proofed the e-mail message in Word, select Finish & Merge, Send E-mail Messages from the Ribbon. This action will cause Word to create a separate e-mail message addressed to each selected recipient and queue the messages in Outlook for delivery to each recipient.

 

Of course, following the same basic procedure outlined above, but changing the Merge to option in step 3 to New Document or Printer would facilitate creating paper-based messages to each selected recipient.

As you can see, creating mail-merge documents that incorporate Outlook data into Word-based messages is not a difficult task due to the very tight integration between these two applications.
